Submission Guidelines for Authors/Translators

Please note that new submissions will be reviewed for the Summer 2027 catalogue

As part of our commitment to fostering effective communication and ensuring a smooth submission process, we would like to encourage authors to get in touch with us before submitting a full manuscript.

To ensure a smooth and efficient submission process, we have outlined some guidelines below:

  1. Manuscript Format:
    • Please submit only the first fifty pages of your manuscript in a standard font (e.g., Times New Roman, Arial) with 12-point font size.
    • Ensure your document is double-spaced for readability.
    • Include a cover page with your contact information and a brief synopsis of your work.
  2. Submission Platform:
    • Submissions are accepted via email. Please refrain from sending physical copies.
    • Attach your manuscript as a Word document or PDF file and send it to [email protected].
    • Please include a brief note in your submission explaining why you believe Asemana Books is a good fit for your work, or what specifically draws you to having your work published with us.
  3. Genres:
    • Asemana Books accepts submissions in languages of West Asia and North Africa in the following genres: None-Fiction; Scholarship; Fiction; Poetry. Ensure your work aligns with our focus on underrepresented, diasporic, multilingual and progressive works .
  4. Query Letter:
    • Accompany your submission with a brief query letter introducing yourself, providing a synopsis of your work, and explaining why you believe it would be a good fit for Asemana Books.
  5. Response Time:
    • Please allow three months for our team to review your submission. We appreciate your patience during this process.
  6. Simultaneous Submissions:
    • Our policy does not accept simultaneous submissions to multiple publishers. If your work is under consideration elsewhere, kindly refrain from submitting it to us.
  7. Rights and Permissions:
    • Specify any existing rights or permissions related to your manuscript. If applicable, let us know about previous publications or pending contracts.
  8. Contact Information:
    • Ensure your contact information is accurate. Any changes in email addresses or phone numbers should be communicated promptly.
  9. Professionalism:
    • Present your submission in a professional manner. A well-prepared and polished manuscript increases the likelihood of a favorable response.
  10. Follow-Up:
    • We understand the anticipation that comes with awaiting a response. While we aim to respond promptly, feel free to follow up after three months if you haven’t heard from us.

Asemana Books Policy for AI-Generated Translations and Works

1. Ethical and Quality Standards

  • Human Oversight: All AI-generated translations and works will be reviewed and refined by professional human translators and editors to ensure accuracy, cultural sensitivity, and adherence to Asemana Books’ quality standards.
  • Cultural Sensitivity: AI-generated content must respect cultural nuances and historical contexts. Any content that fails to meet these standards will be revised or rejected.

2. Disclosure Policy

  • Translations:
    • AI-assisted translations will always be disclosed. Statements will emphasize that human expertise ensures cultural integrity and fidelity to the original text.
    • Example disclosure:

“This translation was supported by AI tools and carefully reviewed by expert translators for cultural and linguistic accuracy.”

  • Creative Works:
    • Disclosure is required if AI tools significantly contribute to the creation process (e.g., generating ideas, drafting). AI will not be used to replace human authorship.

3. Copyright and Intellectual Property

  • Ownership: Copyright of AI-assisted works will be attributed to the author and Asemana Books, with the AI tool acknowledged as a non-proprietary instrument.
  • Author Consent: Authors must provide explicit consent for the use of AI tools in their manuscripts, documented in publishing agreements.

4. Commitment to DEI (Diversity, Equity, and Inclusion)

  • Bias Mitigation: All AI-generated content will be screened for biases inherent in training data. Editors will intervene to correct inaccuracies or culturally insensitive renderings.
  • Inclusive Data Practices: Asemana Books will advocate for AI tools that are trained on diverse linguistic and cultural datasets, with particular attention to underrepresented literatures from West Asia and North Africa.

5. Monitoring and Adaptation

  • Industry Trends: The policy will be reviewed annually to align with advancements in AI technology and publishing standards.
  • Adjustments: Changes will be guided by feedback from authors, readers, and the broader literary community.

Ethics of Non-Contact During Review

As part of our commitment to ethical publishing, Asemana Books follows rigorous peer review practices, including blind and double-blind peer review where appropriate. We maintain a strict editorial firewall to protect the anonymity and impartiality of that process.

We uphold the following editorial principle, rooted in transparency and professional ethics:

To preserve the integrity of our peer review process, any direct contact between the author and either a reviewer or a member of the editorial team regarding a manuscript under review will result in the disqualification of the reviewer. This policy protects reviewers from external pressure, criticism, or influence, and ensures that the evaluation process remains fair, confidential, and independent.
